Submitting your Entry

Authors will be able to submit their manuscripts to the Editors using this website from mid December 2005.

To gain access to the relevant areas of the submission site you will need to login with your Email address and a password. You will receive an automated email containing your login details when you have been assigned to a specific headword within the submission site by the Managing Editor.

Once logged in you should locate/select your headword within the list of headwords which will take you to a page containing:

  • general information about the headword (including progress tracking),
  • contact information for your Co-ordinating and Managing Editor as well as Technical Support,
  • your contact details (with an option to change them and your password),
  • an area where you will be able to upload versions of your manuscript (and artwork).

You will be able to upload text and images for two versions of your manuscript:

  • First Draft
  • Revised Draft

The Editors will upload a third Final Draft version on your behalf.

Your Co-ordinating Editor and the Managing Editor will be notified automatically when new content is submitted.

First Draft
Once you have written your article you will be required to submit a First Draft to your Co-ordinating Editor. Upon submission the First Draft will become locked while your Co-ordinating Editor reviews it. Your Co-ordinating Editor will then provide feedback to you via email and will ask you to submit a Revised Draft version. Please note that if you are responsible for multiple entries you will only be able to upload one entry at a time and that all your entries must be submitted as separate documents.

Revised Draft
The Revised Draft version will be reviewed by your Co-ordinating Editor and the Managing Editor (Derek Gregory). This version will also become locked upon submission. If major revisions are required, the Co-ordinating Editor will ask you to modify your entry accordingly and to submit it to them directly by email - not via the website. If only minor changes are required the Co-ordinating Editor will make these for you.

Final Draft
Once any required changes have been made to the Revised Draft and have been approved by the Editors, the Co-ordinating Editor will upload this version as an Approved Final Draft after which it will be passed to the Publisher for typesetting. You will receive confirmation by email that your Final Draft has been approved and uploaded.

Some entries will require fewer revisions than others and some will not need to pass through all three revision phases.

You will be able to upload content for subsequent drafts (if applicable) at any point but you should only do this when you have received and implemented any feedback for the previous draft version.

If you want to upload corrected content for a previously submitted draft version that is locked you should contact your Co-ordinating Editor via email.
